Refund and Cancellation Policy
1. Subscription Services
- Annual subscriptions may be cancelled with 30 days written notice
- Partial refunds are calculated on a pro-rata basis for unused subscription periods
- Cancellations take effect at the end of the current billing cycle
2. Refund Eligibility
Full Refunds Available:
- Service cancellation within 14 days of initial subscription
- Significant service outages exceeding 72 hours in a billing period
- Failure to provide core functionality as advertised
Partial Refunds Available:
- Mid-term cancellation due to school closure or merger
- Technical issues preventing system use for extended periods
- Documented service failures affecting educational operations
3. Non-Refundable Items
- Setup and implementation fees
- Training and professional services
- Customization and integration work
- Data migration services
4. Refund Process
- Refund requests must be submitted in writing with justification
- Requests are reviewed within 10 business days
- Approved refunds are processed within 30 days
- Refunds are issued to the original payment method
5. Cancellation Procedures
For Schools:
- 30-day written notice required for subscription cancellation
- Data export must be completed before account closure
- Outstanding payments must be settled before cancellation
For Individual Users:
- Account deactivation can be requested through system settings
- Personal data will be retained according to school policies
- Re-activation may be possible subject to school approval
6. Data Retention After Cancellation
- Student academic records are retained according to legal requirements
- Personal user data may be deleted after account closure
- Schools may maintain archived data for compliance purposes
- Users can request data deletion subject to legal obligations
7. Service Modifications
- We reserve the right to modify services with reasonable notice
- Significant changes may qualify users for cancellation without penalty
- Price changes will be communicated at least 60 days in advance
